How to Take Over a Business Facebook Page

By Spencer Lanoue

Gaining control of a business Facebook Page should be a straightforward task, but it can quickly turn into a confusing administrative headache. Whether you’ve just acquired a new company, are taking over from a former employee, or need to claim a page someone else created for your business, securing admin access is a critical step. This guide provides a clear-cut roadmap to navigate every scenario, helping you transfer ownership smoothly and get back to running your business.

Before You Begin: Understand Page Roles and Access

Before you can take over a Page, it helps to understand how Facebook organizes permissions. Not everyone with access to a Page has the same level of control. The most powerful role, and the one you need, is Admin access.

Here’s what an Admin can do that other roles (like Editor or Moderator) can’t:

  • Add or remove other Admins and people from the Page.
  • Change the Page Roles of others.
  • Manage the Page’s settings, including changing its name or deleting it entirely.
  • View full Page insights and all connected services like Instagram.

Ultimately, a true handover isn’t complete until you have full Admin control. This access can be granted either directly to your personal Facebook profile or, preferably, through Meta Business Suite if the Page is connected to a Business Account. For a professional setup, connecting the Page to a Business Account is the recommended best practice, as it keeps personal profiles and business assets separate.

Scenario 1: The Ideal Handover (When You Have a Cooperative Admin)

This is the simplest and most common scenario. The current Page Admin is available, cooperative, and ready to hand over the controls. The entire process should only take a few minutes if they follow these steps.

Step-by-Step Guide for the Current Admin

If you're asking someone to provide you with access, you can send them this guide to make it easy. The current Admin can grant new Admin access through two primary places: directly from the Page settings or through Meta Business Suite. Business Suite is Meta’s preferred tool for professional management.

To Add an Admin via Meta Business Suite (Recommended):

  1. Navigate to business.facebook.com and sign in.
  2. From the left-hand menu, click on Settings.
  3. In the Business settings menu, click on People.
  4. Click the blue Add People button in the top right.
  5. Enter the new Admin's business email address. It’s important to use the email associated with their Facebook account. Assign them full control by toggling the "Manage" option under "Admin access."
  6. Click Next. On the next screen, you’ll be asked to assign access to assets. Select the Facebook Page (and Instagram account, if applicable) that you want to grant access to.
  7. Toggle on all the permissions under "Full Control" on the right side of the screen.
  8. Click Invite. The user will receive an email invitation to join the Business Account as an Admin.

To Add an Admin via Direct Page Settings:

  1. Go to the Facebook Page and switch into managing the Page (if you're not already viewing it as the Page).
  2. In the left-hand Dashboard, click on Professional Dashboard.
  3. Scroll down and select Page Access under the "Your Tools" section.
  4. Next to "People with Facebook access," click Add New.
  5. A pop-up will explain what this means. Click Next.
  6. Search for the person by their name or email address and select their profile.
  7. On the next screen, you'll see "Give [Name] access." Toggle the switch that says "Allow this person to have full control." This is the vital step that grants them full Admin rights.
  8. Click Give Access, re-enter your Facebook password for security, and click Confirm.

What the New Admin Needs to Do

After being invited, the new Admin will receive a notification and/or email. They must click "Accept Invitation" or "Review Invitation" to finalize the process. Wait until their name appears properly in the "Page Access" or "People" section before moving on.

Important Final Step: Once you have confirmed your Admin duties and see your account listed with full control, it’s best practice for security to have the previous Admin removed from the Page (if they're leaving the company or no longer involved). You can do this by going to the same "Page Access" section, clicking the three dots next to their name, and selecting "Remove Access."

Scenario 2: The Original Admin is Gone or Unresponsive

This is where things can get difficult. If an ex-employee is the sole Admin and won't respond, or if you acquired a business and the former owner is unreachable, you can't just be added. You’ll have to file a formal request with Facebook and prove that you are the rightful owner of the business.

First, Exhaust All Other Options

Before starting a formal dispute, make sure you’ve tried every reasonable method to contact the current Admin. Check old emails, phone numbers, and mutual contacts. Document these attempts, as proving you made a good-faith effort can potentially help your case with Facebook support.

How to File an Admin Dispute Claim

Facebook doesn't have a simple "claim my Page" button for this situation. Instead, you'll likely need to go through their intellectual property reporting channels. Here's what you need to prepare and how to approach it.

Gather Your Documentation

Facebook’s support team will need undeniable proof that you own the business associated with the Page. Get these documents ready:

  • A copy of a valid, government-issued photo ID (like a driver's license or passport) for the business owner or acting director.
  • A notarized and signed statement that includes a declaration explaining your relationship to the business and your right to manage the Page, why you've lost access (e.g., former employee departure), and a description of your request to have the old Admin removed and yourself added. Be polite and professional.
  • Proof of business ownership and legitimacy. This can include:
    • Business license or certificate of incorporation.
    • Articles of incorporation or other business formation documents.
    • A recent utility bill or bank statement showing the business's official name and address.
    • Trademark registration documents if the name is trademarked.

Submitting Your Request

The best route is often through Facebook's form for reporting trademark violations, as this gets reviewed by a human team. You’re essentially arguing that the current Admin is infringing on your trademark (your business name) by controlling its official Page without authorization.

  1. Go to Facebook’s Help Center and find the section on Intellectual Property. Or search directly for the "Report a Trademark Violation" form.
  2. Fill out the form with your details. When asked to provide a link to the infringing content, provide a direct link to the Facebook Page you are trying to take over.
  3. In the explanation section, clearly state your issue: "My company is the rightful owner of this business. The sole Admin of our official Facebook Page is a former employee who is no longer with our company and is unresponsive to our requests to transfer ownership. We are requesting that admin rights be transferred to me [Your Name], the current [Your Title]."
  4. Upload all the documentation you prepared.

Be aware: This process can take several weeks and may require back-and-forth communication with Facebook support. Be patient, professional, and persistent in your follow-ups.

Scenario 3: Claiming an Unofficial or User-Created Page

Sometimes, a Facebook Page for your business already exists even if you didn't create it. This often happens when customers “check in” to your physical location. Facebook automatically creates an “unofficial” Page for that location. These Pages are typically bare-bones but may have accumulated reviews or photos. Claiming them is usually quite simple.

How to Claim Your Unofficial Page

  1. Go to the unofficial Page on Facebook.
  2. Directly below the cover photo, you should see a link or button that says something like, “Is this your business?” or “Claim This Page.”
  3. Click this link and follow the on-screen prompts.
  4. You will be asked to verify your affiliation with the business. Facebook offers several ways to do this, including:
    • Phone Call: An automated system will call the publicly listed phone number for your business and give you a verification code.
    • Email: Similar to a phone call, but an email is sent to an official business address (e.g., contact@yourdomain.com).
    • Document Upload: Just like in the admin dispute scenario, you can upload a utility bill or business license.

Once you are verified, Facebook will grant you Admin access, and the Page will become an official, managed Page.

You Have Control! Now What? Housekeeping and Security Best Practices

Getting Admin access is a huge milestone, but your work isn’t done. Taking a few extra steps right away will secure the Page and set you up for success.

  • Review and Update Page Roles: The moment you get control, head to the "Page Access" settings. Remove all unrecognized users or former employees. It's smart to have at least two trusted individuals assigned as Admins in case one person loses access.
  • Enable Two-Factor Authentication (2FA): The security of your Business Page is tied to the security of the personal profiles that manage it. Make sure all Admins have 2FA enabled on their personal Facebook accounts to prevent unauthorized access. You can find this in your personal account's "Security and Login" settings.
  • Audit Your Business Information: Double-check every detail on the Page's "About" section. Make sure the website link, contact information, hours of operation, and business description are all accurate and up-to-date.
  • Review Connected Apps and Integrations: In your Page settings, there’s a section for "Apps and Business Integrations." Remove any old or unfamiliar third-party applications that had access to your Page.

Final Thoughts

Transferring ownership of a Facebook Page puts you squarely in one of two boats: either it's an incredibly simple two-minute task, or it's a frustratingly complex waiting game with Facebook Support. By understanding the Page roles and following the right steps - whether for a friendly handover, an admin dispute, or claiming an unmanaged page - you can secure control and get back to business.
