First, Understand the Types of Facebook Page Access

Meta has been slowly transitioning how page management works. You might encounter two different systems depending on your Page's setup: the legacy "Classic Page Roles" and the newer "Meta Business Suite" permissions. The principles are similar, but the labels and process are a bit different. Knowing the difference will help you navigate no matter what your dashboard looks like.

The New Standard: Meta Business Suite Access Levels

Full Control (The New "Admin")

This is the highest level of access you can give. Think of it as handing over a complete set of keys to your business's presence on Meta. Someone with Full Control can do everything you can do, including:

  • Critically: Add or remove other people (including you!), and even permanently delete the Page.

Only give Full Control to people you trust implicitly, like a business co-founder or a long-term, high-level manager.

Partial Access (The Safer, More Flexible Option)

This is the best choice for most team members, freelancers, and agency partners. It's built on the "principle of least privilege" - giving someone only the permissions they need to do their job, and nothing more. When you grant Partial Access, you can pick and choose from several task categories:

  • Content: Create, publish, manage, and delete posts, Stories, and other content. This is perfect for your social media manager or content creator.
  • Messages & Community Activity: Respond to DMs, comments, and engage with your community. Ideal for a community manager.
  • Ads: Create, manage, and delete ads for the Page. This is the permission you'd give to your ads specialist or paid media agency.
  • Insights: View page performance analytics and audience data. Great for marketers and analysts who need to report on performance but not post content.

Classic Page Roles (The Old System)

On some Pages, you might still see the older role-based system. It’s less common now but still good to know.

  • Admin: The equivalent of Full Control. Can do everything.
  • Editor: Can manage the Page, post content, respond to messages, and run ads. They just can't manage other roles or page settings. This is a common role for trusted social media managers.
  • Moderator: Can respond to comments and messages, and remove comments, but cannot create content for the page.
  • Advertiser: Can only create ads and view insights.
  • Analyst: Can only view insights and see who has published on the page.

How to Assign a Facebook Page to Someone (Step-by-Step with Meta Business Suite)

This is the most up-to-date and recommended method for granting access to your Facebook Page. It provides the best security and control over what others can and cannot do.

Step 1: Navigate to Meta Business Suite Settings

First things first, log into the Facebook profile that has admin access to the Page. From there, head to the Meta Business Suite. You can usually find a link in the left-hand menu of your Facebook home feed or by going directly to the URL.

Once you’re in your Business Suite dashboard, look for the "Settings" gear icon in the bottom-left corner and click on it.

Step 2: Go to the "People" Section

After clicking Settings, a new navigation menu will appear on the left. Find and click on "People". This is your central hub for everyone who has access to your business assets, including your Facebook Page and Instagram accounts.

Step 3: Add a New Person

In the main People screen, you'll see a blue button in the top right corner that says "Add people". Click this to start the invitation process.

A pop-up window will appear asking for the individual's business email address. It’s important to use their professional email, not their personal one, especially when working with agencies or freelancers. This keeps everything professional and secure. Type in their email and click "Next."

Step 4: Choose the Level of Access

This is the most critical step. You'll be presented with the choice between Partial Access and Full Control.

As a rule of thumb, always start with Partial Access unless you have an explicit reason to grant Full Control.

If you select Partial Access, you will see a detailed list of tasks the person can be assigned to. This is where you grant them the specific permissions they need:

  • For a Social Media Manager: You'll likely want to give them access to Content, Messages, Community Activity, and maybe Insights.
  • For an Ads Specialist: You would only need to give them access to Ads and Insights.
  • For a Community Moderator: Just Messages and Community Activity.

Select the appropriate permissions and click "Next." Review your choices on the next screen before confirming.

Step 5: Send the Invitation

After you’ve confirmed the access level, click "Send Request." Meta will send an email invitation to the address you provided. Let the person know it's on the way, as it sometimes lands in spam folders.

Their access will be listed as "Pending" on your dashboard until they accept the invitation. Once they accept, their name will appear in your People list with their assigned permissions.

How to Remove or Change Someone's Access

Your team will change over time, so knowing how to remove or modify permissions is just as important as adding them.

  1. Go back to Settings >, People in your Meta Business Suite.
  2. Find the person whose access you want to change in the list.
  3. Click on their name to see their current permissions.
  4. From here, you can modify their assigned tasks. To remove them entirely, click the three-dot icon on the far right of their row and select "Remove from business account."

That's it. Their access is immediately revoked. It's a good practice to audit this list every few months to ensure only current and appropriate team members have access.

Best Practices for Secure Page Management

Simply knowing the steps isn't enough. Managing your page securely protects your brand, your audience, and all the hard work you've put in.

  • Never Share Your Personal Login Info: Do not give anyone your Facebook email and password. Ever. This practice bypasses all of Meta's security features and puts your entire personal account at risk, not just your Business Page. The roles system is designed to prevent this.
  • Use Two-Factor Authentication (2FA): Require every person with Full Control access to your Page (including yourself) to enable two-factor authentication on their personal Facebook account. This adds a critical layer of security that makes unauthorized access much more difficult.
  • Always Start with the Least Privilege: When adding a new team member, always grant them the minimum level of access they need to perform their duties. You can always increase their permissions later if their role expands, but it's much harder to claw back access once a problem occurs.
  • Conduct Regular Audits: At least once per quarter, go through the "People" list in your Meta Business Suite. Remove anyone who no longer works with you or needs access. Check if current team members have more permissions than they actually use.
  • Have at Least Two Admins: For business continuity, it's wise to have at least two people with Full Control. This prevents a single point of failure if one person loses access to their account, leaves the company unexpectedly, or is unavailable during an emergency. Make sure the second Admin is a trusted business partner or key stakeholder.
