How to Add Someone to a Facebook Page

Giving someone access to your Facebook Page can feel like handing over the keys to your business, but it's a necessary step for growing your brand with a team. Getting it right means your social media manager can post content seamlessly, your community manager can respond to comments, and your agency partner can run ads without issue. This guide will walk you through exactly how to add people to your Facebook Page, explain the different roles you can assign, and cover some simple best practices to keep your Page secure.

Why Add Someone to Your Facebook Page?

Working in a silo runs its course quickly. As your brand grows, you'll need help to keep the momentum going. Bringing people onto your page is fundamental for scaling your social media marketing efforts. You might need to add someone because you’re:

  • Hiring a social media manager to take over content creation and scheduling.
  • Bringing on a virtual assistant or team member to handle customer interactions in comments and messages.
  • Partnering with an agency to manage your advertising campaigns.
  • Collaborating with a content creator who needs to post directly to your Page.
  • Giving an analyst access to your Page Insights to track performance.
  • Adding a business partner as a backup administrator, which is always a smart move.

Delegating these tasks frees you up to work on other parts of your business, knowing your social presence is in good hands.

Understanding Facebook Page Roles (The New Pages Experience Breakdown)

Facebook (now Meta) has updated how it manages permissions. You might remember old roles like "Editor," "Moderator," and "Analyst." This has been simplified in the "New Pages Experience" into two main types of access: Access with Facebook Control and Access with Task Access. Understanding the difference is important for keeping your Page secure.

Access with Facebook Control (aka Full Admin Access)

Think of this as the master key. Someone with Facebook Control has the highest possible level of permission. It's essentially the same power as the Page owner.

A person with Facebook Control can:

  • Manage all Page settings and permissions (including adding or removing other people!)
  • Create, manage, and delete content (posts, Stories, etc.)
  • Respond to comments and messages
  • Create and manage ads
  • View all Page Insights (performance data)
  • Delete the Page entirely

Because this role holds so much power, you should only grant it to fully trusted individuals, like a co-owner of the business. For most other roles, Task Access is a much safer and smarter option.

Access with Task Access

This is the more flexible and secure way to give people permissions based on their specific job. Instead of giving someone keys to the whole building, you’re just giving them a keycard to the one room they need to be in. When granting Task Access, you can assign permission for specific areas:

  • Content: The ability to create, manage, or delete posts, Stories, and Reels. They can go live from the Page and manage content across all of Facebook's tools.
  • Messages & Community Activity: The ability to view and respond to messages and comments as the Page. They can also moderate by removing unwanted comments and spam. This is ideal for community managers or customer service representatives.
  • Ads: The ability to create, manage, and delete ads for the Page. This is perfect for your paid media specialist or advertising agency.
  • Insights: "View-only" permission to see your Page's performance, audience data, and ad analytics. This is great for marketers or data analysts who need to report on results but don't need to post.

By using Task Access, you grant people exactly what they need to do their job without giving them the power to change critical Page settings or remove other admins.

How to Add Someone to a Facebook Page: Step-by-Step Guide

Ready to invite your team member? The process is straightforward and happens directly from your Page's professional dashboard.

Step 1: Switch to Your Page Profile

First, you need to be acting as your Page, not your personal profile. To do this, click on your profile picture in the top-right corner of Facebook. You’ll see a menu - click "See all profiles" and select the Page you want to manage.

Step 2: Go to Your Page's Professional Dashboard

Once you're managing your Page, look for the "Professional Dashboard" link in the left-hand sidebar. This is your command center for all Page tools and settings.

Step 3: Navigate to "Page Access"

Inside the Professional Dashboard, scroll down the left menu and find "Page Access" under the "Your Tools" section. Click it.

Step 4: Invite a New Team Member

On the Page Access screen, you'll see a list of people who currently have access. To add someone new, click the "Add New" button.

Step 5: Search for the Person

A search box will appear. Here, you can search for the person you want to invite by either their name as it appears on Facebook or their email address. Make sure you're selecting the correct person from the results.

Note: The person you invite must have a personal Facebook profile.

Step 6: Choose and Assign Access Level

Now, you'll see the two access options: "Access with Facebook Control" and "Access with Task Access."

  • If you choose Task Access, a second screen will appear where you can use toggles to select an exact combination of tasks (Content, Messages, Ads, Insights) they can perform.
  • If you choose Facebook Control, the system will remind you that this gives them full administrative power.

Click "Give Access" to proceed.

Step 7: Confirm with Your Password and Send the Invitation

For security, Facebook will ask you to re-enter your personal password to confirm that you authorize this change. After entering it, the invitation will be sent.

What Happens Next? The Invitation Process

The person you invited will receive a notification on Facebook about the Page invitation. They must click this notification and accept the invitation to gain access. The invitation is only valid for 30 days. Until they accept, their name will appear in your Page Access dashboard with a "Pending" status.

Managing Your Team: How to Edit or Remove Page Access

Your team will change over time. An employee might leave, or a contract with an agency may end. It's smart to remove access immediately in these situations. Luckily, it's just as easy as adding someone.

  1. Navigate back to the Page Access screen (Steps 1-3 from above).
  2. Find the name of the person whose permissions you want to change or remove.
  3. Click the three dots at the side of their name to open a small menu.
  4. From here, you can choose "Change Access Level" to add or remove specific tasks or "Remove Access" to remove them from the Page entirely.

Removing access is instant, helping you keep your digital assets secure at all times.

Best Practices for Securely Managing Page Access

Adding people is simple, but managing them smartly is what separates professional operations from risky ones. Here are a few tips to keep in mind:

  • Follow the Principle of Least Privilege: Always grant the minimum amount of access a person needs to do their job. Don’t give someone Full Control when they only need to post content. This reduces your security risk dramatically.
  • Conduct Regular Audits: Every three months, go through your Page Access list. Remove anyone who is no longer working with you or doesn't need access anymore. It’s easy to forget old permissions.
  • Insist on Two-Factor Authentication (2FA): Gently insist that anyone with access to your Page - especially those with Facebook Control - enables Two-Factor Authentication on their personal Facebook account. It adds an essential layer of security that protects both them and your business Page.
  • Educate Your Team on Security: Briefly remind your team about the risks of phishing scams and the importance of using strong, unique passwords. A secure team is your best defense.
