How to Use Hootsuite for Instagram

Before you can start scheduling, you need to connect your Instagram account. One non-negotiable step is that you must have an Instagram Business Account that is linked to a Facebook Page. This isn't a Hootsuite rule, but rather a requirement from Meta's API for any third-party tool to gain publishing access.

If you have a Creator or Personal account, you'll need to switch to a Business profile in your native Instagram settings. It's free and only takes a minute.

  1. Log in to your Hootsuite dashboard.

  • Step 7: Schedule It. You can choose to "Post It Now" or "Schedule for Later." When you schedule for later, you can manually pick a date and time or use Hootsuite's "AutoSchedule" feature, which picks a time based on its recommendations.

How to Schedule Instagram Reels

Scheduling Reels in third-party tools can be tricky because so much of what makes a Reel successful - like trending audio or interactive stickers - has to be done inside the native Instagram app. Hootsuite provides a solid scheduling foundation, but you need to know its limitations.

The process is similar to a regular video post: you upload your finished video file to the Composer, write a caption, and schedule a time. You can even choose a cover frame from your video. However, you cannot add trending audio, polls, quizzes, or other native stickers directly within Hootsuite.

This leaves you with two primary workflows:

  1. For Simple Reels: If your Reel's audio is original or already edited into the video file, you can upload and schedule it directly through Hootsuite with no problem. This works great for polished, pre-produced content.
  2. For Viral-Ready Reels: If your strategy relies on trending sounds and interactive elements, your best bet is to use a notification workflow. Schedule the Reel in Hootsuite as a mobile notification. At the scheduled time, you'll get a push alert on your phone. Tapping it will open your video and caption in the native Instagram Reels editor, where you can add all the trending audio and stickers before hitting publish. It's not fully automated, but it's a great way to stay organized and prep all your assets in advance.

How to Schedule Instagram Stories

Like Reels, scheduling Instagram Stories comes with a few caveats. Because of API limitations, you can only schedule up to 10 photos or videos at a time for your Stories, and it must be done through mobile notification publishing.

Here's how it works:

  1. In the Hootsuite mobile app, open the Composer and upload your Story media (up to 10 frames).
  2. Write out any text for your caption, but remember, this won't be overlayed automatically. It serves as a reminder for you.
  3. Schedule your Story for later.
  4. When it's time to post, you'll receive a push notification. Tapping it opens your media directly in the Instagram Story editor.
  5. From there, you can add stickers, music, links (if you have access), polls, and mention tags before publishing it manually.

Unfortunately, Hootsuite's main dashboard doesn't pull in Instagram DMs to its general inbox unless you have certain high-tier plans or add-ons. You'll likely still need to manage your direct messages from the native Instagram app.

Understanding what works is fundamental to growing your Instagram presence. Hootsuite's Analytics section gives you a clear overview of your performance without having to manually compile data in a spreadsheet.
