How to Share Admin Rights on a Facebook Page

Granting someone else admin rights to your Facebook Page is a necessary step when you’re scaling your brand, but it can definitely feel a little nerve-wracking to hand over the keys. You want your team, freelancers, or agency partners to have the access they need to do their jobs without giving away control unnecessarily. This guide will walk you through exactly how to share admin rights and manage Page permissions safely, so you can collaborate with confidence. We’ll cover the different types of access you can grant, provide a step-by-step walkthrough, and offer some best practices for keeping your page secure.

Why Share Access to Your Facebook Page?

In the beginning, you probably managed your Facebook Page all by yourself. But as your business grows, doing it all becomes inefficient and, frankly, impossible. Sharing access isn’t just about offloading work, it’s about strategic delegation that allows your brand to scale.

Here are a few common scenarios where you'd need to share access:

  • Onboarding a New Team Member: A new social media manager or marketing hire will need access to post content, respond to comments, and analyze performance.
  • Working with an Agency: If you've partnered with a marketing agency, they'll need access to manage your content calendar, run ad campaigns, and report on results.
  • Hiring a Freelancer: You might hire a freelancer specifically to create content, manage community engagement, or run your Facebook Ads. Each requires a different level of access.
  • Collaborating with a Partner Brand: For joint campaigns or cross-promotions, you might need to give a partner temporary access to your page's insights or advertising tools.

In each case, assigning the right level of permission is fundamental. You don't want your freelance designer to accidentally change your Page name, and a community manager doesn't need access to sensitive financial information in the ad account. Understanding the different roles is the first step toward secure delegation.

Understanding Facebook Page Roles and Permissions

A few years ago, Facebook updated how Page management works with the introduction of the "New Pages Experience." While the old role names like Admin, Editor, and Moderator might still be tossed around, the new system is structured a bit differently. It's now centered around two main types of access: Facebook access and Task access. If you still have a “Classic” page, the roles will look more traditional, but most Pages have been migrated to the newer setup.

Here’s a breakdown of what each level of access means in the New Pages Experience:

People with Facebook Access (Full Control)

This is the highest level of permission you can grant and is effectively the new “Admin.” Giving someone Full Control means they can do everything you can do. They can manage the page directly on Facebook or by using other tools like Meta Business Suite or Creator Studio.

Someone with Full Control can:

  • Create, manage, and delete posts, Stories, and other content.
  • Send and respond to messages.
  • Review and respond to comments, remove unwanted comments, and manage community activity.
  • Create, manage, and delete ads.
  • View Page Insights (performance analytics).
  • Manage permissions: They can add or remove other people from the page, including other people with Full Control (they can even remove you!).
  • Manage page settings: They can change the Page name, delete the Page, and manage other page-level settings.

When to use it: Only grant Full Control to trusted business partners or senior team members who are co-managing the brand's digital presence with you. This is the highest level of trust, so grant it sparingly.

People with Task Access

This is where Facebook’s new system really shines. Instead of giving someone broad access as an "Editor" or "Moderator," you can grant them access to specific tasks. This is based on the principle of least privilege - only give people the permission they need to do their job, and nothing more. It’s a much more secure way to manage your team.

You can mix and match these tasks to create a custom role:

  • Content: Allows them to create, manage, and delete posts, Stories, and other content for the Page. Ideal for social media managers and content creators.
  • Messages: Lets them send messages as the Page in Messenger and reply to comments on your Instagram DMs if connected. Perfect for customer service reps or community managers focused on 1-on-1 engagement.
  • Community Activity: Allows a user to review and reply to comments, remove spam, and report activity on Page posts and in Meta Business Suite. This is a great permission for community moderators who help keep your comment sections healthy.
  • Ads: Grants permission to create, manage, and delete ads for the Page. Essential for your ad specialist or marketing agency.
  • Insights: Lets them view Page performance and audience analytics. This is a "read-only" style permission that's useful for team members who need to report on metrics without having the ability to post or make changes.

When to use it: Task access is perfect for most of your team and any external partners. A content creator only needs "Content" access. An analyst only needs "Insights." Your ad-buying freelancer only needs "Ads." This approach dramatically reduces the risk of accidental mistakes or security breaches.

How to Add an Admin to a Facebook Page (Step-by-Step Guide)

Ready to grant access? The process is straightforward and only takes a minute. Keep in mind that to invite someone, you must already have Full Control of the Page yourself.

Here’s how to do it from your Facebook Page directly:

  1. Navigate to Your Page Settings. From your personal Facebook profile, click your profile picture in the top-right corner. In the dropdown menu, select "See all profiles" and choose the Page you want to manage. This will switch you from operating as yourself to operating as your Page.
  2. Access Professional Dashboard or Settings. Once you're switched to your Page profile, look for the "Manage" button or go straight to the professional dashboard. From there, locate "Page Access" in the left-hand menu. Alternatively, you can click on your Page's profile picture in the top right, select "Settings &, privacy," then "Settings," and finally find "New Pages Experience” and “Page Access.” Facebook sometimes moves things around, but it is typically in one of these spots under Settings.
  3. Start the Invitation Process. You'll see two sections: "People with Facebook access" and "People with task access." To grant full admin rights ("Full Control"), click the "Add New" button in the first section. For limited, task-based access, use the "Add New" button in the second section.
  4. Search for the Person. A pop-up will appear. Click "Next" and use the search bar to find the person you want to add by their Facebook name or the email address associated with their account. They must have a personal Facebook profile to be added.
  5. Assign the Correct Access Level. Once you select the person, you'll see a screen that lets you define their access. If you're adding them with Full Control, there will be a toggle for "Allow this person to have full control." It comes with a warning - read it carefully. If you're granting task access, you'll see toggles for each task (Content, Messages, Ads, etc.). Select only the ones they need.
  6. Send the Invitation. After assigning permissions, click "Give Access." For security, Facebook will ask you to re-enter your personal profile password to confirm the action. The person will then receive a notification and an email to accept the invitation. Their access will show as "pending" until they accept.

Remind the person to check their notifications! The invitation expires in 30 days. Once they accept, they’ll have the permissions you assigned and can start helping you manage your Page.

Using Meta Business Suite for Smarter Access Management

If you're running a business, managing clients, or working with a team, the better, more professional way to handle permissions is through Meta Business Suite (formerly Facebook Business Manager). It's a central hub for all of your Meta business assets - your Facebook Page, Instagram account, ad account, pixel, and more.

The main advantage of using Business Suite is that it completely separates your business assets from personal profiles. Instead of adding a friend named "John Smith" to your Page, you invite his business email to your Business Suite. He then has access to the Page through your Business Suite, but you aren't connected as personal friends, and you retain overarching control.

Best Practices for Managing Page Roles and Security

Granting access is easy, but managing it wisely is just as important. Poor permission management can put your brand's reputation and security at risk.

  • Follow the Principle of Least Privilege: Don't give full admin rights just because it's easier. Take a moment to think about what a person genuinely needs to do their job and only assign those specific tasks. An analyst doesn't need posting rights, and a content creator doesn't need to see ad spend.
  • Always Use Meta Business Suite for Teams and Agencies: If more than one person needs access, set up a Meta Business Suite account. It's the professional standard and gives you superior control and oversight. It also allows you to manage assets and permissions without becoming personal Facebook friends with your staff or clients.
  • Require Two-Factor Authentication (2FA): Insist that anyone with Full Control over your page has 2FA enabled on their personal Facebook account. If their account gets compromised, so does your Page. This adds a critical layer of security that protects against unauthorized access.
  • Conduct Regular Access Audits: At least once a quarter, review everyone who has access to your Page. Are they still on the team? Do they still need that level of access? As people's roles change, so too should their permissions. Remove anyone who no longer needs access.
  • Create a Clear Offboarding Process: When an employee, freelancer, or agency partner finishes their contract, their access should be revoked immediately. Make this a standard step in your offboarding checklist. Old, forgotten accounts are a major security vulnerability.
